Scandic Denmark’s journey toward seamless digital mail handling

Scandic is the largest hotel chain in Denmark and part of the Scandic Group, which operates hotels in several countries, including Denmark, Norway, Sweden, Finland, Germany, and Poland.

Scandic’s hotels in Denmark feature 6,000 rooms, and the chain employs 3,000 people. Every day, the company receives up to 200 messages from the Danish authorities' digital mail system (Digitalt Post). These messages can contain sensitive information, such as municipal notifications regarding wage subsidies.

Previously, two Scandic employees were required to manually log into the digital mail service and forward messages to Scandic’s own email system. This process was not only cumbersome but also inefficient and time-consuming, as employees had to repeatedly type out full email addresses within the service.

Scandic decided to implement PostNord Strålfors’ Digital Mailroom solution, which automates mail handling and frees up resources that can now be redirected toward value-adding tasks.

Once the distribution rules had been defined for the various mail types, the solution worked flawlessly.

– The solution has proven to be more secure and time-saving, and it has eliminated a tedious task for both Scandic and our employees," Gitte concludes.
